Accepting Payments

Updated by Russ

ServiceProfessional integrates with Revolution Payments to let your shop accept credit and debit cards directly from within the app — at the counter, on a payment terminal, or remotely via a text message link sent to the customer. This article covers how to connect Revolution Payments and how to process payment on a repair order.

Note: Revolution Payments integration is optional. If your shop uses its own card terminal independently, you can still record cash, check, and manual card payments without connecting Revolution.

Setting Up Payment Processing

Payment processing is configured per location. You'll need your Revolution Payments gateway credentials before you start — these come from your Revolution gateway Control Panel.

Step 1: Navigate to Location Settings

  1. Click Settings in the left navigation bar.

  2. Under the General section, click Locations.

  3. Click your shop location to open the Edit Location page.

Step 2: Open the Payment Processing Card

Scroll down the Edit Location page until you reach the Payment Processing section. Click the card to expand it.

If Revolution Payments has not yet been connected, you will see the setup form. If it is already connected, you will see a green Connected status with your configuration summary (see Managing Your Connection below).

Step 3: Enter Your Revolution Credentials

Fill in the following fields from your Revolution gateway Control Panel:

Field

Where to Find It

Required

Source Key

Control Panel → Sources

Yes

PIN

Control Panel → Sources

Yes

Tokenization Key

Control Panel (starts with pk_)

Payment Page Slug

Tip: The Source Key and PIN are sensitive credentials — they are stored encrypted and never displayed again after saving. The Tokenization Key is shown in your configuration summary for reference.

Step 4: Save

Click Save. ServiceProfessional will validate and store your credentials. Once saved, the card will show a green Connected status.

Adding Payment Terminals

If your shop uses a Revolution physical card terminal (for tap, chip, or swipe at the counter), add it after connecting Revolution:

  1. With the Payment Processing card expanded, locate the Terminals section.

  2. Enter a Label (e.g., "Front Counter") and the Terminal ID (the serial number on the device).

  3. Click the + button to add the terminal.

You can add multiple terminals for different bays or service desks. Each terminal you add will appear as a Card (Terminal) option in the payment dialog.

Processing Payment on a Ticket

Once a ticket's services are approved and it has been authorized, you can finalize it as an invoice and collect payment.

Step 1: Invoice the Ticket

On the ticket detail page, click the Invoice button in the right sidebar. This moves the ticket to Invoice status and makes it ready for payment. The sidebar will display a breakdown of Parts, Labor, Subtotal, Taxes, and Total, with a green Pay button at the bottom.

Step 2: Open the Payment Dialog

Click the green Pay button. The Payment dialog opens, pre-filled with the full ticket total.

  • Payment Amount — Defaults to the full balance. You can reduce this to record a partial payment (for deposits or split payments).

  • Memo — Optional internal note (e.g., "customer paid half today").

Step 3: Choose a Payment Method

Click the Payment Method dropdown. The following options are available:

Method

Description

Card (Online)

Collect card details via a secure hosted form on screen. Available whenever Revolution is connected.

Card (Terminal)

Charge a physical terminal. Only appears if you have terminals configured.

Text to Pay

Send the customer a payment link via SMS. Only available when a Payment Page Slug is configured.

Cash

Record a cash payment manually. No card processing.

Check

Record a check payment manually.

Credit/Debit Card

Record a card payment processed through your own terminal independently.

Gift Certificate

Record a gift certificate redemption.

Card (Online)

Select Card (Online) and click Enter Card. A secure Revolution-hosted payment form opens in the browser where you can enter the customer's card number, expiry, and CVV. The card data never passes through ServiceProfessional — it is tokenized directly by Revolution.

Once the card is approved, the payment is recorded and the ticket moves to Complete status automatically.

Card (Terminal)

Select Card (Terminal) and choose the terminal from the list. Click Charge Terminal. The customer taps, inserts, or swipes their card on the physical device. ServiceProfessional polls for the authorization response and updates the ticket automatically when the transaction completes.

Text to Pay

Select Text to Pay. The dialog will confirm the phone number on file for the customer (e.g., "Will text to: 555-555-5555"). Click Send Payment Link.

The customer receives an SMS with a secure link. When they open it, they see a summary of the invoice and a Pay Now button that takes them to the Revolution-hosted payment page. Once they pay, ServiceProfessional receives a webhook confirmation and the ticket updates to Complete in real time.

Requires: Text to Pay only works if a Payment Page Slug is configured in your Revolution gateway and entered in Location Settings.

Managing Your Connection

Viewing connection status

With the Payment Processing card expanded, the Connected panel shows:

  • Your Tokenization Key (for reference)

  • Whether Text to Pay is enabled and your payment page slug

  • All configured terminals

Editing credentials

Click Edit in the Payment Processing card to update your Source Key, PIN, Tokenization Key, Payment Page Slug, or Webhook Signature Key. This is useful if Revolution issues new credentials.

Disconnecting

Click Disconnect to remove Revolution Payments from this location. Card processing will be disabled immediately. You can reconnect at any time by re-entering your credentials. Existing payment records on completed tickets are not affected.

Frequently Asked Questions

Does ServiceProfessional store card numbers?
No. Card data is tokenized by Revolution and never stored in ServiceProfessional.

Can I record a partial payment?
Yes. Reduce the Payment Amount in the dialog before saving. The ticket will show a remaining balance, and you can run additional payments against it until the balance reaches zero.

What if the terminal doesn't respond?
Check that the terminal is powered on and connected to your network. If the transaction times out, no charge is made — you can try again or switch to Card (Online).

Can I use Revolution Payments for multiple locations?
Yes. Each location has its own Payment Processing card in Location Settings. Each location can have separate credentials and terminals.

What payment methods don't require Revolution?
Cash, Check, Credit/Debit Card (manual), and Gift Certificate are all available without any Revolution integration.
